Creating Guest Profile Alerts

You can store important guest related information in the Guest Profile in the form of notes. The notes appear as a pop-up alert when you open the guest history, during guest check-in, when booking an appointment, or in the POS. This helps the service provider to understand what matters to each guest, and in turn, helps personalize the guest’s experience. This is used, for instance, when a guest is allergic to a certain chemical or when a guest prefers a certain welcome drink. This enables the service provider to cater to the guest based on the notes that appear. By default, the manager role has permission to enter guest notes. Permission can be added to other roles if required.
 

To enter and enable guest notes to pop-up as alerts:

    1. Navigate to the Guest Profile.

    2. In the Notes tab, enter notes related to the guest. These notes will appear as pop-up alerts.

    3. Select all or any of the below options:

      • Show on opening Guest History: Select if you want critical alerts to show on opening the Guest Profile screen.
        Example:
        Guest is allergic to a certain chemical

      • Show during check-in: Select if you want the alert to show when the guest’s appointment status is ‘check-in’.
        Example:
        Guest prefers a hot beverage on arrival

      • Show when booking an appointment: Select if you want the alert to show when booking an appointment for the guest.
        Example:
        High Profile Guest

      • Show when taking payment: Select if you want the alert to show when you take payment for the guest.
        Example:
        Guest is a member

      • Private: Select if you wish to restrict this alert to only managers and front desk staff - this alert will not be visible to the service provider. 

    4. ​Click Add.
      The note is now added in the Notes section. With the required permission (by default, the manager role has permission), you can delete note(s).

Depending on the configuration, you can now view the alert that you added each time you access the guest profile,during guest check-in, when booking an appointment, or in the POS. The alert displays as follows:
