What's New in November 2015

Your Zenoti account was upgraded with the latest features on November 4. We’ve made exciting enhancements to the Appointment Book, Webstore and Memberships. Here’s what’s new.

APPOINTMENT BOOK & POS

REVIEW ONLINE BOOKINGS IN THE APPOINTMENT BOOK

Online bookings bring significant benefits for your staff and clients. However, on busy days, where you want to maximize availability on your appointment book, an online booking could introduce gaps in your schedule. For example, a guest may book an appointment 15 minutes after a service provider’s last appointment ends. Ideally, on busy days, you want to make sure all appointments are scheduled one after the other without any unutilized times in between.

To help you maximize your appointment book during busy days, your front desk can now review online bookings as they come in. This enables them to follow up with a guest to reschedule the appointment if required.

Click the “message” icon in the top bar of the appointment book for the newly added “Bookings” tab. This new tab shows a list of confirmed appointments received through online bookings. Your front-desk should acknowledge online bookings or follow-up with the guest to reschedule.

Swipe gift cards with a magnetic stripe, the POS captures the gift card number and the front desk enters further details like the recipient info and dollar value. This saves the front desk time.

SIMPLER AND FASTER ONLINE BOOKINGS

Multiple enhancements to the online booking flow improve your guest’s user experience. Changes include:

  • Ability to search for appointments within a time range. That is, the guest can specify a specific time as well as the categories – Morning (open time to noon), Afternoon (noon to 5:00 p.m.), and Evening (5:00 p.m. to close time)
  • Available slots for the requested time are displayed – if the requested time is not displayed, then alternate openings are displayed
  • You can choose to not allow guests to search for a specific provider’s availability
  • The front desk will know when an online booking is in progress. These appointment blocks will show the label “booking in progress” on the appointment book in a distinct color.

These new enhancements help guests find availability across the week based on their preferences, and quickly book their appointment.
SIMPLER AND FASTER ONLINE BOOKINGS

SALES, MEMBERSHIPS & LOYALTY

SUPPORT FOR MEMBERSHIP CATEGORIES

Group memberships into a category or subcategory based on the term of the membership (e.g. monthly, annually, and recurring) or by the included services (e.g. hair, body, face).

These categories are used by reports, which enable you to filter based on membership categories. For example, when reviewing membership sales, you can filter to see only massage membership sales.

AUTOMATIC OPPORTUNITY CREATION ON PACKAGE EXPIRY

When a guest’s package is about to expire, you can have Zenoti automatically create an opportunity for staff to follow-up on. This helps to get the guest back into the center and retain their loyalty.

LOYALTY POINTS ON MEMBERSHIP PURCHASES AND OTHER PAYMENT TYPES

Your customers can now earn loyalty points when:

  • Purchasing memberships
  • Making payments using prepaid cards
  • Making payments through custom payment types like a corporate benefits plan or through affiliate memberships

This ensures more customers are covered under your loyalty program, and increases retention.

MULTI-CENTER & ORGANIZATION LEVEL SUPPORT

ROLE-BASED PERMISSIONS FOR PRESCRIPTION SET CREATION

A prescription set is a combination of prescriptions, dosage and instructions for a guest that can be assigned directly from the appointment book.

Only employees with the required permissions can create prescription sets. This ensures only qualified staff are in charge of this critical task. The permissions for prescription sets can be set at the organization level.

MONITOR ISSUES AT THE ORGANIZATIONAL LEVEL

Issue tracking is available at organization and zone level in addition to individual center level. This helps corporate and regional offices track all issues in one place, and increases accountability at center level to resolve issues faster.

Track issues under Org/Zone > Loyalty > Issue Tracking

SUPPORT BIR ACCREDITATION

If you operate out of Philippines, and use the Bureau of Internal Revenue (BIR) format for invoicing, you now have the option to not charge VAT on purchases. The receipt generated would show the appropriate amount against VATable Sales, VAT Zero-rated Sales and VAT-Exempt Sales.

The following new features have been introduced in this release:

APPOINTMENT BOOK AND POINT OF SALE

Auto-fill membership names in Point of Sale and Reports

You now have the feature to auto-fill memberships names in Point of Sale (POS) and Reports. When selling a membership in the Point of Sale screen, you can now search for the membership by typing in the first few letters of the membership name rather than using the drop-down to locate it. This is especially useful, when you have multiple similarly named memberships.

Similarly, when you are working with membership reports such as Multiple service - 6 month you can start typing in the name of the membership instead of locating it using drop-down.

Select the Auto fill memberships check box at the center level in the Admin mode, for the search text box to replace the drop-down list for memberships at the POS and the reports. 

No-show and Cancelled Appointment Reports displayed in appointment book

You can now filter the 'Today's Sales' report in Appointment Book to view only appointments for which clients did not show up or cancelled appointments. You can further filter to view appointments based on how they were booked. For example, no-shows resulting from online bookings.

 

Option to print therapist insurance credentials on receipt

The system supports printing therapist registration number on the receipt so that it can be used for taxation purpose for countries such as Canada. For details, refer to the article on Help Center.

Better layout for guest's package details popup

The package details popup has been enhanced for better user experience. You can view the package details without having to go through multiple tabs. The package name is displayed in the top-right corner, the name of the employee who sold the package also appears along with the customer details. All these changes make it easier for the front-desk personnel to view the details at once.

WEBSTORE UPDATES

Payment Express credit card customers can save credit card details in Webstore

Customers using Payment Express now have an option to store the credit card details of their guests for future use for the transactions made through Webstore. This has the following benefits:

  • Online purchase becomes simpler and faster.
  • Purchasing recurring memberships online becomes easier- since it involves automatically charging the client's card every month (or at a pre-defined interval.)

Showing first 'n' available slots in Webstore

When guests search for an appointment online, you can configure the system to show up to 5 available slots at a time. For example, with a configuration of 5 slots, if a guest searches for availability in the afternoon, the system shows the first 5 available slots starting from 12 PM. When no slots are available on the selected day, the system looks up to 7 days after the selected date (based on configuration) to show available slots.

In-Progress web appointments show in a different color

When customers are booking for appointment online, system 'holds' the slot for a pre-defined interval for the guest to finish the booking. For example, if 'Appointment Hold Time' is set as 10 minutes, the slot would show as busy for all other guests and it gets freed up if the guest does not finish the booking process within 10 minutes.

To clearly indicate to front desk, that the guest has not finished booking the appointment, such appointments are displayed with distinct color and background.

All such appointments appear in grey with a dotted line in the appointment book. This helps businesses identify these appointments and withhold any further action on these appointments.

Disable specific therapist availability search

You can choose whether you want to hide the "Specific therapist" option while guests make an online booking. Even if you hide the option of selecting a specific therapist, you will be still able to display the option of selecting a preferred therapist such as male or female.

To disable the capability of selecting a specific therapist, deselect the 'Allow specific therapist selection'

 

Flexible booking workflow

Prior to this release, a client had to specify the exact time of service when booking online. Now, the system can search for availability in pre-defined time ranges. For example, you can now search for a slot on the morning of 15 November.

If the time slot selected by the guest is not available, then the system has been enhanced to display the message "Our schedule is full on the requested day. Please review times available on later days." and goes to the date tab with an available slot. This helps the customer in choosing a slot that is available.

ADMINISTRATION UPDATES

Ability to restrict creating prescription sets

You can now restrict the ability to create prescription set to selected individuals using a new role permission. This ensures that doctors use mandated prescription sets and only qualified individuals create prescription sets.

Enhanced Royalty Reports

Royalty report is enhanced to allow you to drill down in to invoices that contributed to the royalty amount. Royalty amounts (non zero) are now clickable that navigate the user to a report that shows all the invoices that contributed to the amount. 

All you need to do is click on the link of the resource and view the details such as Service name, service price, Prepaidcard etc.

For example, in the previous screenshot, when we click the Prepaidcard Royalty link for the Los Angeles center, the following screen appears displaying the details of every prepaid card sold at Los Angeles:
