What's New in October 2015

 

The following new features have been introduced in this release:

APPOINTMENT BOOK AND POINT OF SALE

Custom Colors for Appointments: Use a single color for services grouped under a category, sub-category or appointments of members. So when an appointment is booked for a member, appointment is shown using the color set at the membership level. Colors can be set against a membership using ‘Appointment Category’. For example, all appointments of ‘Monthly Massage’ members are shown in Blue. You can also override an appointment color with a specific appointment category color if needed.

 Easy Access to Gift Card/Pre-Paid Card Balance: You can now easily access a client’s gift card and pre-paid cards balance when checking them out. Point of sale screen shows total balance from client’s gift cards and provides an easy way to use them for payment.

Easy Way to Modify Payment Type After Payment is Recorded: If you mistakenly select an incorrect payment type while taking payment from a customer, you can now easily rectify it without having to reopen the invoice. All you need to do is click the pencil icon on Payment screen as shown in the following screenshot, and select the correct method of payment from the ‘Change transaction to’ drop-down list.

Note: This is typically useful when you are modifying the payment type in a partially paid package invoice with redemptions.

Add an Add-on After Appointment is Booked: You can now add an add-on to the service even after the service has been booked. For example, to add an add-on to an existing appointment, click + icon next to service name that brings up the list of relevant add-ons. Select one and click OK to book it.

Enforce service custom data entry for prescription: When entry of service custom data is mandatory for taking payment, it is enforced for filling up prescriptions as well.

MEMBERSHIP UPDATES

Memberships with Setup Fee: Zenoti now allows you to charge one-time enrollment fees on your recurring memberships. You can bill the setup fee separately, and offer any exclusive discounts on it. It helps your clients to sign up for the membership by paying the setup fee and choose to start their membership billing a bit later. The system also provides you the flexibility to configure the membership such that the clients can start to use the member discounts right after they pay the setup fee.  Flexible Membership Benefits: Zenoti enables you to map multiple equal value services to your base membership benefits, so the billing and tracking of membership benefits becomes less tedious. For example, a single 60-min massage can be set as equivalent to two 30-min massages in monthly memberships. It provides the flexibility for your members to choose from multiple services, and makes it easy for your staff to manage the combinations automatically. For more information, refer to the detailed article on Help Center.

Capture Reasons for Membership Cancellation: You can specify a fixed list of reasons for your employees to select from to cancel memberships. You can still use the Comments box to type any useful notes, so you have access to relevant and complete information related to cancellations. The Membership Status report in the Marketing module helps you track the reasons for all the cancelled memberships regularly. For more information, refer to the detailed article on Help Center

Revenue Recognition for Service Credits: Membership revenue can be recognized using a combination of initial revenue, monthly revenue and credit value. If you are providing service credits to members, you can now allocate a portion of revenue to be recognized when members redeem the benefits. Use the ‘Service Credit Revenue’ field when creating a membership to configure the amount to recognize from service credits.

Disable Membership Redemption at the Time of Appointment Booking: Use the new organization setting to configure when membership redemption should take place - either at the time of appointment booking or when taking payment. Also, membership redemption always happens at the time of appointment booking when appointment is booked for current day.

EMPLOYEE UPDATES

New Memberships Commission Model: You can now define membership commission at employee level that was earlier was available only at job level.You can either define the commission to be a certain percentage of the membership price or you can define a flat amount.

If % or flat amount is set at employee-membership level, system will use that for commission. If not, commission model defaults to tiers configured.

For example, an employee sells a membership worth $100, you can define if you want the employee to have a certain percentage of $100 as commission or, you can define if you want to have a flat amount for each sale. For more information, refer to the detailed article on Help Center

New Products Commission Model: You can now define products commission at employee level that was earlier was available only at job level.

You can either define the commission to be a certain percentage of the product price or you can define a flat amount. For example, an employee sells a product worth $75, you can define if you want the employee to have a certain percentage of $75 as commission or, you can define if you want to have a flat amount for each sale. The Zenoti Biometrics Application: The new Zenoti Biometrics application relieves you from being dependent on browsers for managing employee check ins and check outs. All you need to do is download the app, call our support to enable the settings, and configure the app following the instructions provided in our Help Center

Enhanced Employee Scheduler: To allow convenient scheduling of time, the employee schedule now has a drop-down list instead of the slider that was used earlier.

REPORT UPDATES

Flexibility to Exclude Tax in Collections Reports: For organizations that follow cash based accounting, you can now use collections reports that have the option of showing collections without including tax. Deselect the check box, ‘Show including tax’ in ‘Collections by Item Type’ in Daily Reports and Accounting Reports to view collection amounts not including tax. For cash accounting purposes, collections without tax is equivalent to revenue.

View Memberships Sales Filtered by New or Recurring: Membership Details report allows sales to be filtered by new membership sale or recurring payment or all of them together. Membership sales daily report shows the type of sale using a new column, ‘Membership Sale Type’.

Collection Details Report: Use new center level ‘Collections Details’ report to view amount collected during a time period along with details on payment types used.

Collection by Item Type Report: Use new center level ‘Collections by Item Type’ report to view amount collected during a time period at individual item level in each invoice.

MOBILE UPDATES

Mobile Payments: Allow clients to pay for their appointments at the time of booking right within the Customer Mobile App. By ensuring clients pay upfront, you can significantly reduce no-shows and cancellations and speed up checkout process as well. For additional details, contact Support.

Mark up areas and add comments to images using Employee app: Using the newest version of the Employee app, therapists can take pictures of areas of treatment, mark up the area and add comments. For example, using this, you can take picture of client’s face, markup crow’s feet before treatment to review with the client. You can also take picture to compare the effect of treatment.

 

 

Use default images for capturing Subjective, Objective, Assessment, and Plan (SOAP) notes:  Use default images in Consultation forms to quickly capture SOAP notes for a client. For example, using figure of human body service providers can accurately pinpoint area of treatment on the mobile app.

Selecting Gender is Optional for New Sign ups in CMA and Instore apps: Gender selection is no longer mandatory for new clients sign ups using customer mobile apps. This is applicable in both App store and Google Play store.

Allow Guest to Update Intake Form or Consultation Form Using Employee App: You can now use Employee mobile app to allow clients to update their information in the Intake form or Consultation form. Click ‘Guest Edit’ on the form to limit fields shown in the screen to only those that can be edited by guest. Once the guest updates the data and clicks ‘Submit’, the screen gets locked and employees have to type in passcode to gain access to the app.

Access to Additional Guest Fields in Employee and Manager Apps: You can now update home/work phone numbers, birthday, anniversary and referral source of guests using Employee and Manager apps.
