Reviewing and Updating Employee check in/check out

 

How does the Check in/Check out for employees gets captured?

The check in/check out for employees can be captured in one of the following two ways through the Appointment book:

  • Through manual check in/check out: Employees can be checked in manually, by clicking on the employee name on the appointment book and entering the credentials, or using the Employee checkin button at the top left corner of the appointment book. Similarly, when employees need to be checked out, again click on the employee name and enter the credentials or use the Employee checkin button.
  • Through a bio metric device: Employees check in/check out can be tracked through a biometric device which is integrated with Zenoti.

How do I Update an Employee's System Recorded Check in/Check out timings or add attendance for an employee for a past date?

There might be situations when you need to override the employee's check in/check out that was recorded through the Appointment book. This can be done from the Employee module by a supervisor or a center manager. Similarly, there might be situations when an employee's check in, check out was not recorded for a past day. You can also add attendance for an employee for past days.

To override an employee's check in/check out timings or add attendance, perform the following steps:

  • Click the Check In link in the Employee module.

  • Check in, check out information is shown for all employees for today. From this page, you can:
    • View check in, check out details for a specific date by selecting a date from the calendar and clicking Refresh.
    • Click on the first name of an employee to edit or override the system recorded time for check in, check out.
    • Add attendance for a past date.

Overriding Employee's Attendance Details

The 'Manage Employee Checkin' page (screenshot above) shows the expected check in, actual check in, expected check out, and actual check out for all employees for a particular date. Any comments entered when modifying the employee's check in/check out is also shown. To update the actual check in/check out recorded for the employee,

  • Click on the employee name and enter the updated check in\check out time and enter a reason for the update in the Comments text box.
  • Click OK.

The updated check in, check out timings will be honored in employee attendance and punctuality reports.

Adding an Employee's Attendance for a Past Date

The 'Manage Employee Checkin' page (screenshot above) shows the expected check in, actual check in, expected check out, and actual check out for all employees for a particular date. To record attendance for a past date, perform the following steps on the 'Manage Employee Checkin' page:

  • Select a date for which you wish to record attendance by clicking on the calendar icon and clicking Refresh.
  • Select the 'Add Attendance' task and click the Go button (icon).
  • Select the employee from the drop-down list for which you wish to record the attendance.
  • Enter attendance details, such as expected check in, check out, and actual check in, check out.
  • Enter comments, if any.
  • Click OK. The updated attendance record for the employee will be honored in employee attendance and punctuality reports.

Adding Multiple Check In and Check Out Times For A Past Date

  • Select a date for which you wish to add multiple check-in or check-out timings by using the calendar icon and clicking Refresh.
  • Click on the employee name and enter the updated check in\check out time and enter a reason for the update in the Comments text box.

 Note: You can add multiple check in and check outs for a past date. 

  • Click Add

 Note: Check in and check out time cannot be edited, but you can delete existing records by clicking on the cross icon and add them again. 

  • Click Close.
