Redeeming a Prepaid Card

Prepaid cards serve as an alternative to cash payments. That is, guests can use their prepaid cards to make payments at your center.

This article provides instructions on the following:

This article is especially useful for front desk employees who process payments when guests use prepaid cards.

What items are redeemable with a prepaid card?

Prepaid cards may be of one of the following types:

  • Same price and value
  • Different price and value

Depending on the prepaid card type (same or different price and value), only the items provided in the following table are redeemable, by default.

How to redeem a prepaid card in the POS?

Note: Only the purchaser of a prepaid card can redeem the prepaid card.

  1. Open the POS window using one of the following methods:
    • Navigate to the appointment book and click the Launch POS icon .
      The POS window opens. Proceed to step 2.
    • If an appointment is already booked for the service:
      1. Navigate to the appointment book.
      2. Click the relevant appointment, and select Take Payment from the appointment block’s menu.
        The POS window opens displaying the guest details and the service item invoice.
      3. Proceed to step 3 if the guest needs to make additional purchases.
        Else, proceed to step 4 below.

  1. Enter guest details.
    In the guest details section at the top of the POS window, enter either the mobile number, email address, first name, or last name of the guest, and select a matching record from the list of suggestions.
    If the guest record does not exist in Zenoti, then create a new guest record.

  2. Select an item and add it to the invoice.
    In the lower left pane in the POS window, select the item the guest wants to purchase, and add it to the invoice.
    The Invoice section displays the sum total (net price + tax) of the item selected. 
  3. Collect Payment using the prepaid card option.
    The following Collect Payment screen illustrates the series of actions needed to collect the payment. Each of these actions are explained in detail.

  1. Select PRE-PAID/GIFT as the payment option. 
    The sum total and any applicable tips (or gratuity) automatically populate in the Amount and Tips fields. 
  2. In the Card # field, enter the prepaid card number manually
    (or)
    Click the prepaid card balance link beside the prepaid card icon .
    In the Prepaid Cards window, click the Use This link beside the appropriate prepaid card number. 
    The card number appears in the Card # field.
  3. Check if a Generate OTP button displays above the Card # field.
    Note: One-time password (OTP) is required only during redemptions. This is applicable only if your organization has enforced OTP (Organization level -> Organization -> Settings tab -> expand Invoice and Receipt -> click Enforce OTP for redemption check box).

    • If the Generate OTPbutton does not display, proceed to step 4(d) below to take payment.
    • If the Generate OTP button displays, it indicates that one-time password (OTP) is enabled for redemption. Generate an OTP as follows:
      1. Click the Generate OTP button to generate a one-time password for the transaction.
        A pop-up appears confirming that the OTP is delivered to the guest’s registered mobile number.
      2. Once the guest receives the OTP, ask the guest for the same, and then enter the code in the OTP field. 
  4. Click Add Payment.
    The payment is added to the invoice.
  5. Close the invoice.
