Setting up Prepaid Cards

Settings available to: Administrator, owner, and manager roles.

A prepaid card is used as an alternative to cash payments. Using Zenoti, you can set up and issue prepaid cards in your organization. Setting up prepaid cards establishes the framework for the sale and redemption of prepaid cards in your organization.
You can manage the behaviour of prepaid cards at two levels: organization and center.
The settings available at each level are as follows:

  • Organization level
    Note: 
    Prepaid card settings enabled or disabled at the organization level impact all centers in the organization. 
    The settings available at the organization level are as follows:
    • Enable or disable the sale of prepaid cards at your organization.
    • Auto generate prepaid card numbers in the POS (Point of Sale) window.
    • Enable the sale of cards with different price and value, that can be a value-add for the buyer. Read: What is Price and Value in a Gift Card or Prepaid Card?
    • View the default items that are redeemable using prepaid cards.

    To configure organization level prepaid card settings, go to Configuring Organization Level Settings for Prepaid Cards

  • Center level: Here you can enable or disable the sale of prepaid cards for a center.
    Note: You can sell prepaid cards at your center only if the organization allows the sale of prepaid cards.
    To configure center level prepaid card settings, go to Configuring Center Level Settings.

Configuring Organization Level Settings for Prepaid Cards

To set up prepaid cards at the organization level:

  1. Ensure that you are at the organization level.
  2. Navigate to Admin > Organization > Organizations.
  3. Click the Settings tab and do the following:
    • Expand the General section.
      To enable sale of prepaid cards for your organization, select the Enable pre-paid cards check box.
    • Expand the Invoice & Receipt section and navigate to the following settings:
      • To enable automatic generation of prepaid card numbers in the POS window:
        1. Select the Auto generate pre-paid card number check box. Do not select this check box, if you choose to manually enter prepaid card numbers in the POS window.
          If you select this field, the Pre-paid Card Number Start Value field appears. Proceed to step (b) below.
          Important: Once selected, you cannot turn off this feature. Contact Support to change this setting.
        2. Enter a code number for the first prepaid card that you want to issue. Thereafter, Zenoti serially assigns card numbers to each prepaid card sold from the POS window.
          Note: If this check box is already enabled, the application shows the last generated prepaid card value.

      • View redeemable items for prepaid cards with same price and value.
        Prepaid cards purchased with equal price and value are used to pay for the following items by default:
          • Services
          • Products
          • Day, series, and custom packages
          • Memberships
          • Other prepaid cards
          • Gift cards
          • Tips

        Note: You cannot manually select redeemable items.

      • Enable the sale of prepaid cards with different price and value.
        1. Select the Allow pre-paid cards with different price and value check box. When this option is selected, the following field appears:

          Enforce manager authorization: Select this check box if the sale of different price and value cards require manager authorization in the POS window. 
          Prepaid cards purchased with different price and value are used to pay for the following items by default:
              • Services
              • Products
              • Day, series, and custom packages
              • Memberships
              • Gift cards
          Note: You cannot manually select redeemable items.

Configuring Center Level Settings for Prepaid Cards

To set up prepaid cards at the center level:

  1. Ensure that you are at the center level. On the main menu click the Admin tab.
  2. In the Admin Dashboard, go to Organizations > Centers. 
  3. In the Manage Centers page, click the center Name.
  4. In the Edit Center page, click the Settings tab.
  5. Expand the Invoice & Receipts section, and scroll down to the Allow prepaid card sale in POS setting.
    This field is already enabled by default, thus allowing the sale of prepaid cards.
    Clear this field, to restrain the sale of prepaid cards in the POS window.

    The Prepaid Card tab does not appear in the POS window if the Allow prepaid card sale in POS check box is not selected.
